Healthy Kids Running Series, a non-profit 501(c)(3) was created to motivate kids to lead a healthy and active lifestyle through a positive introduction to the world of running. Our mission is to engage communities and families by providing an inclusive youth running experience, inspiring kids to believe in themselves and lead an active healthy lifestyle. We do this through a five week running program for kids ages 2-14.
This Privacy Policy applies to: (a) information we collect from persons, either electronically, via postal mail, in-person or over the phone, in connection with their relationship with HKRS whether it be for a donation or other means; (b) all registrants or participants in HKRS events and race series; and (c) users of any related services, applications or sites that link to this Privacy Policy.
The Policy describes HKRS’ collection and use for its legitimate interest of users’ Personal Information (e.g., information that identifies a specific person, such as full name, postal address, telephone number, email address, or credit or debit card number) where that information is not otherwise publicly available. It also describes, generally, HKRS’ practices for handling Other Information (e.g., interests, demographics and site usage) collected from you, through us or from a third party to the extent such information is associated with a particular device, user or user account.
At Healthy Kids Running Series, we are keenly aware of the trust you place in us and our responsibility to protect the privacy of the children and families we serve, as well as our many volunteers, sponsors, and donors. As part of this responsibility, we let you know what information we collect, how we collect it and how we use this information to improve and sustain our program.
By accessing the website and/or submitting information to us, you agree to the terms set forth in this Privacy Policy. This Privacy Policy may be modified at any time. Any modifications to this Privacy Policy will be posted on the website.
“Personal Information” is the information that identifies you as an individual, such as name, postal address, telephone number, email address and credit or debit card number.
Personal Information You Submit
We collect Personal Information when you submit it to us, including but not limited to when you submit a donation, subscribe to our newsletter, submit an application to become a Community Coordinator, or submit a request for financial assistance.
Personal Information We Receive from Third Parties
Third-party service providers are used to perform certain services, including background checks, registration management, HKRS online shop operations and fulfillment, parent and participant surveys, various waivers, and the collection of donations made to HKRS. Third-party service providers may collect bank or credit card information if a payment is submitted, but that information is not passed on to HKRS. Third-party providers conform to information security industry standards for online sales. Third-party service providers that collect individual information conform to information security industry standards for safekeeping personal information.
Third-party service providers used for race registration collect Personal Information about our participants and their families to share with HKRS. During registration participants provide names, dates of birth, gender, postal and email addresses, phone number, demographic information, emergency contact information, participants’ health information, and other information voluntarily submitted to us.
We also use a third-party service provider to collect information needed to conduct background checks on our Community Coordinators (e.g., date of birth and Social Security number). This third-party service provider also conforms to information security industry standards for safekeeping Personal Information.
“Other Information” is any information that does not reveal your specific identity, such as browser information, information collected through cookies and other technologies, demographic information, and aggregated information. For each visitor to our website, our web server does not recognize or collect Personal Information — only location and referral method.
HKRS is a nonprofit providing services for children ages 2-14 and takes the privacy of children very seriously. While the services advertised on the Healthy Kids Running Series website are designed for children, the website itself is not designed for or targeted to children under the age of 18. Children under the age of 18 are prohibited from registering for HKRS programs and must be registered through a profile of a parent/guardian.
We will not intentionally communicate directly with children under the age of 13. When there is a need to communicate with children under the age of 13, for the acceptable purposes under this policy (for instance to confirm a race registration), we will use the email address of the parent, guardian or adult who has created the profile or registered the child for a race. Additionally whenever a child’s name appears in a public place on our site (for instance with their race results) the name will be truncated to first initial and last name and will not be shown with other identifying information such as their photograph.
By registering for an HKRS event, parents/guardians provide consent for HKRS to use a participant’s name and likeness. HKRS will never publish identifying information about a participant without additional written consent (e.g. photographs of children are never shown with a child’s full name or location). Anyone wishing to opt out of the use of a child’s likeness may do so by contacting info@dev.healthykidsrunningseries.org. Personal Information about children registered for an event is accessible by the local Community Coordinator and the National Office only for use in conjunction with that program.
Email: We maintain an internal email list of all persons who have requested information, registered for races, volunteered, or made an online payment or donation. We use this list to send updates and announcements about our program or emails of a marketing nature, such as annual giving campaigns.
Phone: Persons who supply us with their telephone numbers may receive telephone contact from us responding to a request for more information about our program, volunteering, or a transaction (e.g., registration, payment, requests, documentation for financial assistance). We do not make unsolicited marketing calls.
Text: HKRS does not send unsolicited text messages or any text messages unrelated to a specific race series (i.e. weather cancellations) and will send text messages only to those who opt in during the registration process.
With Other Companies and Organizations: The personally identifying information we maintain at Healthy Kids Running Series is for internal use only, and will not be sold, rented or exchanged with any third party. Personally identifying information may be shared with Third-party service providers when (1) you have consented to share the information; (2) we need to share information in order to provide a product or service requested by you; or (3) we need to share the information with others who work on our behalf to provide a requested product or service to you. These third parties do not have the right to use the personally identifying information that we provide to them beyond what is necessary to assist us.
As Aggregate Data: We may aggregate data and share it with third parties, including other nonprofits, agencies, sponsors, donors, and community representatives, after personally identifiable information has been removed.
As Required By Law: At times Healthy Kids Running Series may be required by law or litigation to disclose personally identifying information. If we are required to do so by law or we believe, in good faith, that such a disclosure is necessary to comply with the law, defend our rights or property or to respond to an emergency situation, we may disclose any information in our possession.
Healthy Kids Running Series takes reasonable efforts to secure and protect the privacy, accuracy, and reliability of your Personal Information and protect it from unauthorized access, misuse, alteration, and loss. HKRS implements appropriate security measures consistent with industry standards. As no data security protocol is impenetrable, we cannot guarantee the security of our systems or databases, nor can we guarantee Personal Information we collect about you will not be breached, intercepted, destroyed, accessed, or otherwise disclosed without authorization. Accordingly, any information you transfer to HKRS is provided at your own risk.
We may use “cookies” to monitor how people use our website. A cookie is not software and therefore cannot alter your computer or computer files or software in any way. It is simply a piece of information that is stored on your computer’s hard drive which records how you have used the Healthy Kids Running Series website. If you do not want us to use cookies in your browser, you can alter your browser settings to reject cookies, or to alert you when a website tries to put a cookie on your computer.
If you would like to know what Personal Information Healthy Kids Running Series has collected about you or your child, we will be happy to share this information with you. This includes transaction information (e.g., dates on which you made payments, amounts and types of payments, financial assistance, registration information), communications from our staff (e.g., program-related emails, newsletters) and contact information (e.g., name, address, phone number). You may email info@dev.healthykidsrunningseries.org with a request to review this information, have the information deleted or request that there be no further collection or use of your information or your child’s information. Your request must contain your child’s name, your name, your relationship to the child, your signature and the date of your request.
